How to exclude certain contacts from scanning?

Control which emails and meetings are ingested into SigParser—at the source.

💡 Use this feature to:

  • Exclude internal HR or recruiting communication

  • Prevent sensitive or irrelevant data (like vendors or personal contacts) from being ingested

  • Maintain a cleaner, more relevant relationship dataset

  • Adhere to GDPR regulations

In your SigParser account:

  1. Go to Settings > Admin Settings > Mailbox Scan Rules

  2. Click + Add to create a new rule

  3. Choose a Rule Type:

    • Exclude & Forget – Removes matching Contact records. The Contacts will not be recreated, but emails and meetings will still be ingested, preserving relationship context and statistics for other Contacts.

    • Exclude & Purge All – Completely removes matching Contacts and purges all associated emails and meetings. Prevents any future ingestion involving the specified addresses. May affect statistics for other related Contacts.

  4. Select a Match Type:

    • Email Address (e.g., hr@company.com)

    • Email Domain (e.g., @vendor.com)

  5. Enter the email address or domain you want to exclude

  6. Click Add Rules and Delete Data

You can repeat this process to exclude additional domains or contacts as needed.


Marking Contacts as Private

You can also mark Contact or Company records as "Private," which will hide them from view unless the user has the appropriate Role & Permissions.

In your SigParser account:

  • Select the checkmark next to a Contact or Company record

  • Select Private.

For multiple records:

  • Select multiple Contact or Company Records

  • Select Update

  • Select Update Status Values

  • Select Private


Information from Outlook Contacts or Gmail Contacts can only be imported to SigParser via CSV import. If an Outlook or Gmail Contact is included in email or calendar correspondence, that information will be included in a scan.
