What you may notice
If "Can View All Contacts" is DISABLED for a user, they may see a record appear from the search bard even though it has been marked as Private by another user.
How it works
The Contact will still appear in search results.
When selected, the profile will display as [HIDDEN CONTACT].
You may still see associated mailboxes where the contact was found.
However, profile details (interaction types, dates, relationship metrics, coworker data) will not be visible.
Why it behaves this way
This is intentional. If a user remembers communicating with a contact, but another teammate later marks that contact as Private, the record will not disappear entirely.
This prevents confusion or the impression that data has gone missing. Instead, the contact remains searchable, but the details stay hidden.
Best practices
For highly sensitive contacts, we recommend creating Scan Rules to prevent them from being ingested at all. This ensures they won’t appear in the database for any users.
The current behavior helps maintain awareness of a contact’s existence without exposing restricted details.
