Configuring Contact Exporting (Google & Outlook)

SigParser’s Contact App Sync automatically adds and updates your Google or Microsoft 365 contacts using data captured from your connected mailbox.

🧩 Pre-Requisites

Before configuring sync, ensure you have:

  • A connected Google (Gmail/Workspace) or Microsoft 365 (Outlook) mailbox

  • An active SigParser subscription


⚙️ Configure Contact App Sync Rules

  1. Navigate to Connectors in SigParser.

  2. Locate the Contact App connector associated with your mailbox — either Microsoft 365 Contacts or Google Contacts.

  3. Select the connector to open its configuration settings.

  4. Review the default sync mapping and criteria

💡 Tip: The default configurations are recommended for most users.


🔧 Export Settings Overview

Under the Export Settings section, you’ll find three key configuration areas:

Fields to Export

  • Manage field mapping between SigParser and your Contact App. These are the fields from SigParser that will be sent to your Contact App records.

Export Updates

  • Define how existing contacts are updated in your Contact App. Updates are based on what fields are mapped and what rules are determined for exporting.

Export Records

  • Control how new contacts are added from SigParser to your Contact App. New contact creation is based on what fields are mapped and what rules are determined for exporting.


➡️ Fields to Export

  • Click the blue number under the Fields to Export column.

  • Review or edit field mappings (SigParser fields → Contact App fields).

  • To modify a mapping, select the three dots (⋮) menu for options to:

    • Add, delete, or disable a field mapping

    • Edit settings (rare)

  • Select Save to apply any changes

💡 Tip: The default mapping is recommended for most users.

Export Rules

When configuring Fields to Export, you can also define Export Rules, which control how and when SigParser sends field data to your connected contact app (Google or Outlook).


These rules determine whether data is created, updated, or skipped based on existing values in your contact app. You can configure different export rules for each mapped field.

Select the drop-down in the Export Rules column to make changes.

💡 Tip: The default mapping is recommended for most users.

Available Export Rule Options

Export Always

  • The field value will always be exported from SigParser to your Contact App and will overwrite the existing value — even if the SigParser field is blank. Use with caution when you want SigParser to act as the source of truth.

Export Updates

  • The field value will only be exported from SigParser to your Contact App when the existing field value in the Contact App was last updated by SigParser. This prevents overwriting fields that have been manually edited in Google or Outlook.

Export on Create

  • The field value will be exported from SigParser to your Contact App one time only — and only if the field value in your Contact App is currently blank. This is useful for initial data population without overwriting future edits.

Export Never

  • The field value will not be exported from SigParser to your Contact App. Use this when you want to exclude specific fields (e.g., internal notes or metadata) from syncing.


➡️ Export Updates

  • Click the blue number under the Export Updates column.

  • Review how updates from SigParser apply to existing contacts in your Contact App.

  • You can add or remove update rules as needed.

  • To activate:

    • Toggle Active (top right of the module)

    • Select Save and Export Updates to Contacts

  • Contact records must match on email address to be eligible to be exported from SigParser.

➡️ Export Records

  • Click the blue number under Export Records.

  • Configure how new contacts are added to your Contact App.

  • Add or remove rules as needed.

  • To activate:

    • Toggle Active (top right of the module)

    • Select Save and Export Records to Contacts

  • Contact records must match on email address to be eligible to be exported from SigParser.

💡 Tip: The default Update Rules are recommended for most users.


🔁 Enable Sync for Your Mailbox

To send contacts to your connected mailbox’s contact app:

  • In the Mailboxes section, click the pencil icon ✏️ to edit.

  • Under Export Mailbox Contacts, check the box next to the mailbox you want to sync.

  • Click the pencil icon again to save your changes.

  • A ✅ green checkmark will appear under Export Mailbox Contacts for that mailbox.

In multi-mailbox setups, contacts remain private. Contacts from Mailbox A sync only to Contact App A — they are not shared with other mailboxes.


Viewing Synced Contacts

  • Go to the Connectors page

  • Go to the Metrics section

  • Select the Export Updates number to see what Contacts and fields have been updated in your Contact App.

  • Select the Export Record number to view the Contacts and fields that have been added to your Contact App.


Turn off Auto Sync

  • Go to the Connectors page

  • Go to the Mailboxes section

  • Select the Pencil Icon

  • Disable the mailbox you no longer want to export Contacts to

  • Select the Pencil Icon again to save your changes

Note: Disconnecting does not remove contacts already synced to your contact app. You'll need to manually delete them if desired.
