Overview

Bulk updating allows you to update multiple records at once directly within grid views, eliminating the need to edit records individually.

This feature is perfect for updating Custom Fields or making other field changes across multiple records simultaneously.


Key Benefits

  • Time Savings: Update dozens or hundreds of records in seconds instead of editing them one by one.

  • Consistency: Ensure uniform data updates across multiple records.

  • Efficiency: Streamline data management workflows for marketing campaigns, list building, and data cleanup.


Step 1: Select Multiple Records

  • Click the checkbox next to each record you want to update, or

  • Use the header checkbox to select all visible records on the page


Step 2: Update Directly from the Grid

  • Click on the column header for any field marked with the blue gear icon

  • Choose to either add or remove values from the selected records

  • Make your changes and select Save

You can also bulk update by:

  • Select the Update button

  • select Update Fields

  • select which Fields you want to update

  • select Update Fields.

You can bulk update Contact, Coworker, and Company records. Not all fields will be available to edit across all profile types.


Creating Custom Fields for Bulk Updates

Before you can bulk-update Custom Field values, you'll need to create the Custom Fields that meet your specific needs.

Custom Fields allow you to track information that's unique to your organization, such as:

  • Email marketing segments

  • Event attendance status

  • Regional targeting labels

Once your custom fields are set up, you can use bulk updating to efficiently populate them across multiple records using the steps outlined above.


Common Use Cases

Event Planning: Filter contacts by location and engagement level, then bulk-update their event status.

Geographic Targeting: Filter contacts by city, state, or region, then bulk-update custom fields to segment your audience for targeted outreach.

Contact Status Management: Quickly set multiple contacts to Private or Ignore status when managing data visibility or compliance requirements.

Data Standardization: Standardize job titles, company industries, or contact statuses across your database.


Pro Tips for Effective Bulk Updating

Filter First Strategy

Apply filters before bulk updating to target specific segments. For example:

  • Filter by job title (e.g., "CEO" or "Partner")

  • Combine with location (e.g., "Chicago")

  • Add interaction criteria (e.g., "Latest interaction older than 6+ months")

Example Workflow

  1. Navigate to Contacts grid

  2. Apply filters: "Chicago + Executive Level + No Activity in 6+ months"

  3. Select all filtered results

  4. Bulk-update a custom field like "Event Target: Regional Networking"

  5. Use this segmentation for your next campaign
