Why is the count of emails low compared to my mailbox?

Customers will often report that the number of emails SigParser scanned or found seems lower than expected. This is to be expected.

SigParser will process most emails but it might not get all emails for a variety of reasons. The most common are listen at the top of this list.

  1. On Premise Engine Skips Internal Emails - If using the On Premise Engine, when configured property, internal emails will be skipped. SigParser doesn't need to ingest internal emails.

  2. Skip inbound spammy looking emails - If an email is from noreply@..., postmaster@, calendar@... we won't ingest that email.

  3. Employee archiving emails to free up space - The employee might be running low on space in their mailbox and archiving the emails offline to free up space. This is a common reason why emails are accessible by SigParser.

  4. Email may have been deleted from mailbox - If running a historical scan on a mailbox then the user may have deleted emails from their mailbox. SigParser will scan the Deleted folder but typically the Deleted folder will automatically delete any records over 30 days old.

    1. Inbox Zero - We find about 2% to 5% of people use an approach called Inbox Zero where they delete all their email once read. This means sometimes historical scans don't pickup as much as one would expect.

  5. Mailbox Scan Rules - If you setup a scan rule to filter out any specific contacts this may be limiting which emails are ingested into SigParser.

  6. Emails with large numbers of receipients - If an email has more than 50 people on it we'll skip it because these are often incorrectly sent by someone external to too many people which will pollute your contact database. For example, we've commonly seen vendors accidently mean to BCC all their customers but actually just put all their customer email addresses in the To field which then adds a bunch of people to the database who have no relationship with our client.

    1. If ingesting these emails is important our support team can toggle this restriction off for your account.
