Email Validation Best Practices
Email validation is most powerful when used intentionally and consistently. Below are best practices to help you get the most out of this feature and ensure your contact lists stay clean and campaign-ready.
đď¸ When to Run Email Validation
Before Major Email Campaigns
Clean your list before newsletters, event invites, or product announcements to reduce bounce rates and improve performance. After Large Imports
Just brought in contacts from another system or marketing list? Validate before you use them.On a Recurring Schedule
Set a monthly or quarterly cadence to check for outdated or Invalid addressesâespecially if your contact data is constantly growing or changing.
đ How to Use Validation Scores
Each email will return a score of Valid, Catch-all, or Invalid:
Valid â Safe to send; recent engagement detected.
Catch-all â Might work, but be cautious; may not be regularly monitored.
Invalid â Donât send; this address is undeliverable or inactive.
Use filters in SigParser to:
Exclude Invalid contacts from exports or campaigns
Review Catch-all addresses manually (especially if they belong to high-value contacts)
Prioritize Valid contacts when creating segmented lists
đ¤ Exporting Clean Lists
After filtering based on validation scores:
Go to the Contacts page
Apply filters to isolate Valid contacts
Click Export > Export to CSV
Use your cleaned list in tools like MailChimp, HubSpot, or Constant Contact
This ensures you only target the best, most reliable contacts.
đ§ Pro Tips
Combine with Engagement Data: Use SigParserâs interaction metrics (emails + meetings) alongside validation scores for a more strategic view of contact health.
Tag Problem Records: Create a Custom Field like âNeeds Reviewâ to track Invalid or Catch-all contacts across your team.
Stay Proactive: Donât wait until you get flaggedâkeeping lists healthy is easier than fixing a damaged sender reputation.
