My Contacts View for Teams

Effortlessly filter contact data and manage who sees what.

With My Contacts, users only view contacts tied to their own data sources—such as a connected mailbox, CSV import, or CRM integration. This ensures clarity, privacy, and relevance across diverse teams.

Ideal for firms with multiple BD, sales, or marketing users, My Contacts helps users manage their own relationships without wading through firmwide contact lists.


🔧How It Works

  • SigParser automatically tags each user’s data sources—mailboxes, CSV uploads, or CRM connections.

  • When My Contacts is selected, users see only contacts from their assigned sources.

  • Admins can add or remove data sources from user profiles.

🔒 How to Restrict Users to "My Contacts" Only

To limit a user’s visibility to their own contacts, you'll need to adjust Role permissions in SigParser. You can either modify an existing role or create a new one with limited access.

Option A: Update an Existing Role

  1. Go to Settings → Users → Users

  2. Select the Role you want to edit

  3. Scroll to the Can View All Contacts permission > Disable

    • Enabled: Users can view all team contacts—including private records and contacts from other users’ sources

    • Disabled: Users can only view contacts from sources they own (mailboxes, imports, etc.)

  4. Click Save

Important: Disabling this permission restricts contact visibility but does not allow access to firmwide Interactions, Relationships, or Company data.

Option B: Create a Dedicated “My Contacts Only” Role

  1. Go to Settings → Users → Roles → +Add

  2. Name the role (e.g., My Contacts Only)

  3. Disable the Can View All Contacts permission

  4. Customize additional permissions as needed

  5. Click Save

  6. Assign the role to users who should only access their owned data

💡 Tip: Start with the pre-configured “Team Member Limited” role and adjust as needed for quicker setup.

🔍 Using "My Contacts"

The My Contacts view helps users quickly access contacts tied to their own data sources—like connected mailboxes or imported files.

To access your My Contacts view:

  1. Go to the Contacts page

  2. Open the Views drop-down

  3. Select My Contacts

This will display all contact records associated with your owned data sources.

  • Add the “My Contact” column to any view for quick reference:

    • Open the Column Picker → navigate to Overview → check My Contact → click Save

    • A ✅ checkmark will indicate contacts you own

Filter by ownership using:

  • The Search bar → filter: My Contact is TRUE

  • The Funnel icon (advanced filters) → Overview → My Contactis TRUE

This feature ensures you’re working with the most relevant contact data—streamlining visibility and keeping your focus where it matters.


🌐 Data Source Visibility

To see exactly where a contact came from:

  1. Open the contact record.

  2. Go to the History tab.

  3. Check the Connectors section for source details (mailbox, CSV, CRM).

  4. The Visibility Reason shows why this user can access that contact.

❓ Why am I seeing an unfamiliar contact?

  • This may be due to:

    • Having Can View All Contacts permission enabled

    • Being assigned to that data source

    • A contact appearing via CC or meeting invite.


⚙️ Managing Data Sources

Admins can assign or remove data sources for individual users—giving them visibility into the contact data they’re responsible for.

When a user is assigned as the owner of a data source (e.g. mailbox, CSV import, CRM connection), any contacts from that source become part of their My Contacts view.

  1. Go to Settings → Users → Users

  2. Select the desired user from the Username column

  3. Click Show Advanced Settings

  4. Under Connectors, click Add

  5. Enter the name of the source you want to assign

    • You can assign multiple sources to a single user

  6. To remove a source, click the delete icon next to it

  7. Click Done to save

Once added, contacts from those sources will automatically appear in the user’s My Contacts view.

This setup ensures clean ownership, better visibility, and simplified data access across your team.
